QJumpers NZ Blog - Employee onboarding document software - like a box of chocolates
Now that I’ve got your attention… saving a lot of time, effort and paper is the same feeling that you get from chocolate don’t you think? Not really? Processing all the paperwork for your new employee is significantly time consuming. QJumpers can streamline this document process for your business with our new Employment Agreement Functionality that generates and receives completed employment documents. By automating this process entirely online we can free you up to focus more on your new employee in their crucial first few days.
There is plenty of advice available online about onboarding new employees into your business however this can be a very time consuming process. Managers and HR Professionals often take the initial responsibility for a new starter’s beginning and they need to allocate precious slots in their diary to accommodate training, using time they just don’t have.
At QJumpers our main priority is streamlining and simplifying recruiting processes and making them user friendly, reliable and dependable. We truly understand the pressure points of onboarding new hires, so this led to some bright spark (Simon) to say,
“We know how much time our clients are spending on manually creating their employment document bundles for each successful hire. Also, we understand how they are delayed by waiting for the documents to be signed and returned by post or email and what this means to their business. Why don’t we just create an automated electronic version - like Docusign - but better?”
It’s a lot simpler to provide specific employee, compensation and job details on preloaded forms and then new hires electronically sign the documents in their secure candidate portal. The dashboard is updated when documents have been opened or signed by the new starter and then the hiring or recruiting managers are updated in real time once the documents have all been signed. There is even a notes function where new starters and employers can ask questions and view each other’s response. How much time would these intuitive HR Technologies save your business?
QJumpers has completed the Employment Document functionality in the new rebuild of our recruitment software and new starters now have the capacity to provide electronic signatures online. We have a manual to guide your stakeholders in the business through the entire process as well as knowledgeable support staff on call ready and happy to help.
There are significant legal ramifications that your business could encounter if your employee documents aren’t in order. If an employer keeps false or incomplete records the Employment Relations Authority can fine an employer up to $10,000 for an individual, or up to $20,000 for a company per breach. By ensuring all the required documents are processed through the QJumpers Employment Document module you will know that the onboarding documents are completed and legally compliant. Do keep in mind that new starters must sign and return their employment agreement documentation before they start for the 90 day trial period clause to be valid in New Zealand.
One team member mentioned that a first day at a company can be a bit dull, you spend half of the day filling out paperwork and doing Health and Safety training. Is that the first impression you want to make of your business - lots of paperwork and dry reading material? Wouldn’t it be better if they met the team, learnt more about your company and started training on their new role - all that important social interaction and training that enthuses and retains a new employee. Businesses need to convey a professional, efficient and approachable image from initial recruitment right through to current team members, so don’t drop the ball mid-way when someone receives a job offer. The job market is incredibly tight right now with skills shortages and low unemployment levels. If your new starter doesn’t feel appreciated (and anticipated) then they could very easily move on to the next best thing and then you’re back to the drawing board. Ghosting may be a term from the dating scene, however it’s prevalent throughout recruitment (also with new starters) so your onboarding process needs to be top notch. The first impression of your business counts massively for new starters, right down to the box of chocolates on their new desk welcoming them to the team.
Part of this seamless onboarding process is giving the new starters the convenience of completing the paperwork online in their own time and with their documents to hand. Then they can start their first day with enjoyable tasks rather than a sore hand from all those signatures required. Added bonus: you’re doing the planet a favour by not printing out those pages and pages. QJumpers can help your business streamline and simplify your HR processes, releasing you to get on with your business.
